ONLYOFFICE’s 10.0 update just rolled out, and it’s set to make the AI-powered office suite indispensable for teams of all sizes, no matter the industry. It’s a sweeping update with a slew of improvements for ONLYOFFICE’s Docs software.

The big one is a new set of AI-powered tools that streamline workflows and automate some of the most time-consuming, tedious tasks, like cell formatting in spreadsheets and table details in PDF form. The new update also brings improved security protocols and a new set of modular apps.

    What is ONLYOFFICE Docs?

    Platforms

Windows, Linux, macOS, Android, and iOS

    Publisher(s)

    ONLYOFFICE

ONLYOFFICE Docs’ latest update brings AI efficiency to the office software suite. No matter the editor you choose, there are AI agents ready to help with any task, from formatting to drafting and summarization. Improvements also include the addtion of modular apps and securty enhancements.

ONLYOFFICE is an open-source suite of office software from Ascensio System SIA that started life as TeamLab in 2009. Even then, it was designed with flexibility and the future in mind, letting you integrate social media, blogs, and other tools to help get the job done better. In 2014, Ascensio System renamed the suite ONLYOFFICE and turned it into an open-source project. It’s built in the Chromium Embedded Framework, so any team can tailor a version to its unique needs.

But making custom apps for office software takes time, time you could otherwise be spending on advancing projects. ONLYOFFICEDocs’ 10.0 update shoulders the burden of creation for you, freeing up time to do the work that matters. It also means you get access to community-built features, like custom-made spellchecks and plugins that make exporting Salesforce data easier than ever.

ONLYOFFICE Docs’ 10.0 update adds AI support for every editor, and it’s something you can use at any stage of your workflow. Need it to fill in some content gaps? There’s a tool for that. Prefer handling content yourself, but really want to save time on formatting? That’s fine, too.

Among other things, the built-in agents assist with:

    • Formatting
    • Translation
    • Drafting and summarizing
    • Developing formulas and analyzing datasets in spreadsheets
    • Flagging tag outliers and cleaning up inconsistent tags
    • Creating presentation outlines and suggesting storytelling flow structure
    • Generating notes and visual aids

There’s a selection of quick actions, like changing a text’s tone, that you can use once or however many times you need. There’s also a group of agents that can work alongside you as the project progresses.

However you use it, ONLYOFFICE Docs’ AI tools are designed to make everything you do more efficient. They’re context-aware, meaning they know all the necessary details about what you’re working on. There’s no wasting time getting the agent up to speed, tinkering with prompts until it gets the idea. Suggestions are relevant from the moment you get started. That’s true for any field you’re working in, whether you’re asking it to analyze a set of healthcare data or market trends.

You can have it turn that set of marketing data into a forecast or feed it some ideas to transform into a full presentation. ONLYOFFICE Docs’ agents respond to any prompt, but if you’re in a hurry, there’s also a built-in set of prompts covering the most common use cases that you can drop in. You can also log your own frequently used prompts to save even more time.

And it doesn’t force a specific AI service on you, either, so you can keep using whichever one your team’s already accustomed to using. You’re free to choose Gemini, ChatGPT, Claude, or whatever else you prefer. It gives you complete control over things like speed and, crucially, cost, so you’re only ever using what fits your needs and your budget.

OpenRouter powers ONLYOFFICE Docs’ cloud servers, which connect to any model, and you have the option to host locally if you need a more secure setup while handling sensitive information.

That’s the broad overview of how ONLYOFFICE Docs’ new AI tools work, but each editor has a bundle of special features.

Save even more time in the PDF Editor

The PDF Editor lets you generate summaries with a single click and, if you need deeper insights, provides answers to specific questions thanks to its deep, contextual knowledge of what’s in the document and how it’s changed over time. There’s even an option to assemble an email draft based on the file’s contents, so you can quickly get what you need from a document and move on to the rest of your tasks.

The update also means you don’t have to suffer through editing and duplicating tables anymore. The PDF Editor recognizes table structures as soon as you begin to edit them and removes the need to rebuild tables. It stores the structure, so you can duplicate and adjust it within seconds.

Confidentiality gets an upgrade with new ways to keep sensitive information safe.

Keep everyone on the same page with the Document Editor

Metaphorically speaking, of course. One of the Document Editor’s most useful new tools is a feature that lets you instantly move your cursor to a teammate’s cursor location. That means you can see what changes they’re making without having to scour the doc — and without requiring a bunch of messy tracking formatting that interrupts the flow.

Speaking of flow, one of the new advanced paragraph settings groups all related information together, whether it’s text, data tables, or a mix of content types. That, plus another feature that smooths out page breaks for long tables, keeps every document looking clean and professional.

The Spreadsheet Editor just got even smarter

ONLYOFFICE Docs’ 10.0 optimizes the Spreadsheet Editor so it works faster, and that goes for a selection of its most-used functions. Function usability gets a boost, too. The editor now highlights referenced ranges and provides improved guidance when you’re building a formula, taking the guesswork out of the equation.

Resizing cells is usually one of the most tedious parts of working with a spreadsheet. ONLYOFFICE Docs’ Spreadsheet Editor removes that headache thanks to a streamlined process that lets you resize every cell simultaneously with a few simple mouse clicks.

The Presentation Editor gives you more control

Even the best presentations fall short if you get the look wrong. Now, ONLYOFFICE Docs’ Presentation Editor offers even more ways to make sure the final product looks as good as possible — and exactly the way you want it. You can swap between five views to see how the presentation will look, including a detailed notes view and a handout view, and you have complete control over how the printout unfolds. You can just print the whole thing out and move on with your day, of course, but you also get settings that let you include notes and comments, hidden slides, and even stylizations like borders.

Four new modular apps help you get even more out of each Editor

ONLYOFFICE Docs’ 10.0 update introduces four new modular apps that streamline your workflow: Agents, Forms, Rooms, and Files. But only if you actually need them. You can activate or ignore them as your needs change, and they work in conjunction with the editor functions. Forms makes data gathering and analysis easy, while Rooms offers collaboration spaces, including Virtual Data Rooms when you need to keep things confidential.

Agents automate your projects and cut out tedious collation and management. They let you create personalized search and knowledge bases tuned to your team’s workflow, making it easier than ever to get the information you need fast. Then there’s the Files app, a centralized storage system for all your documents with a set of customizable access controls to ensure the right groups get the right data.

The most secure version of ONLYOFFICE to date

The expansion of AI usage in sensitive industries makes security more important than ever. Ascensio System SIA’s latest update for ONLYOFFICE makes 35 essential improvements to the software’s security designed to keep your secure information locked down tight. That extends to the PDF Editor as well, which now includes redaction features and a tool that strips potentially sensitive metadata when you share the document.

With its security improvements and enhanced features, the ONLYOFFICE 10.0 software is worth a look.
